Privacy Policy

This policy explains which personal data the "Academic Mentor" app and website process, for what purpose, and what rights you have. We process as little data as possible and never sell your data.
1. Data controller
The data controller is Prof. Dr. Roland Brandtjen (Academic Mentor). For any privacy question you can reach us at info@academicmentor.science.
2. What data we process
Account data: your email address and display name when you register or sign in with Google.
Your work content: texts, chapters, uploaded documents, notes and interview transcripts you enter or upload in the app.
AI interactions: your messages to the Socratic assistant and to the AI tools, and the corresponding responses.
Audio: voice notes or interview recordings you choose to make are processed for transcription.
Integrity Trail: timestamps and metadata of your steps (uploads, edits, AI suggestions) to evidence that the work is your own.
Usage and technical data: language, basic logs and usage counters (e.g. daily limits) needed to run and secure the service.
3. Purposes and legal bases
We process your data to provide the service (performance of a contract, Art. 6(1)(b) GDPR), for optional features such as audio transcription based on your consent (Art. 6(1)(a)), and to ensure security and academic integrity (legitimate interest, Art. 6(1)(f)).
4. Processors and AI providers
Hosting and authentication: Supabase (database in the EU Frankfurt region). AI feedback: Anthropic (Claude). Audio transcription: Mistral AI. Content you send to these features is processed by each provider solely to deliver the feature.
Under these providers’ API terms, content sent via the API is not used to train their models. Any transfer outside the EEA takes place only with appropriate safeguards (e.g. EU Standard Contractual Clauses).

5. Retention
Concretely, for uploaded documents: a file you upload for analysis is deleted again as soon as the analysis finishes — including when the analysis fails. Files that were uploaded but never analysed are removed by a daily job after at most one hour. No copy is kept in temporary storage.
We keep your data while your account exists and the service is provided. On request, we delete your account and associated content, unless statutory retention obligations apply.
6. Your rights
You have the right to access, rectify, erase, restrict, port and object to the processing of your data, and to withdraw any consent you have given. Contact info@academicmentor.science to exercise these. You may also lodge a complaint with a data protection authority.
7. Children
The service is aimed at students and researchers and is not directed at children.
8. Changes
We may update this policy. The current version is always available on this page.
